Step 1: Access Settings and Staff Members
Log in to Systemized Scale CRM: Start by logging into your account.
Navigate to Settings:
On the dashboard, look for the orange sidebar at the bottom left.
Click on "Settings".
Select My Staff:
In the settings menu, select "My Staff".
You will see a list of your staff members.
Step 2: Adjust Staff Member's Availability
Edit Staff Member:
Click on the staff member you want to edit.
Click "Edit" and then select "User Availability".
Meeting Location:
Ensure the meeting location is set to "Custom". This should already be set up for you.
Adjust Time Zone:
You can adjust the time zone for the specific staff member.
Set Availability:
By default, availability is set to 24 hours (12 a.m. to 12 a.m.) from Monday to Friday.
It is recommended to leave this as it allows flexibility in setting specific times for calendar events.
If needed, you can adjust availability for weekends by toggling Saturday and Sunday on.
Save Changes: Once you have made your adjustments, click "Save".
Step 3: Set Specific Availability for Calendar Events
Go to Calendars:
Navigate to the "Calendars" section in the settings.
Edit Calendar:
Click on the three dots next to a calendar and select "Edit".
Assign a staff member to the calendar.
Set Call Platforms:
Choose the platform for calls, such as Zoom or Google Meets. When a call is booked, the respective link will be sent to the lead and added to your calendar.
Adjust Availability for Calls:
Click on "Availability" to set specific times for calls on this calendar.
For example, you can enable calls on weekends or set specific hours like 8 a.m. to 5 p.m.
Save Changes: Ensure to save any changes you make.
Step 4: Round Robin Scheduling
Multiple Staff Members:
If using a round-robin scheduling system with multiple staff members, you can set different availability for each.
For example, one staff member can take calls from 8 a.m. to 12 p.m., and another from 12 p.m. to 5 p.m.
