How to manage calendars

Learn how to create additional calendars to help you book more appointments and automate reminders and tasks associated with appointment bookings.

1. Accessing Calendar Settings

  • Navigate to the settings menu in the CRM platform.
  • Select the "Calendars" option to configure calendar settings for booking reminders.

2. Calendar Setup

  • Choose from a range of calendar options available, such as consult calls, support calls, testimonial calls, and booker chat calls.
  • Duplicate an existing calendar setup, such as a consult call, to create a new one.

3. Customizing Calendar Details

  • Rename the duplicated calendar and add a description to provide context for users booking appointments.
  • Set preferences such as priority, meeting platform (Zoom or Google Meets), and availability times.

4. Setting Availability

  • Configure the available time slots for appointments based on the user's time zone settings.
  • Determine meeting intervals, booking lead time, maximum bookings per day, and per slot, as well as buffer periods.

5. Forms and Payment Options

  • Choose the appropriate form template for the type of call (e.g., consult, support, testimonial) or use the default form.
  • Enable the option to add guests and customize confirmation messages or redirect URLs.

6. Notifications and Additional Options

  • Ensure essential options like assigned user, Google and Outlook integration, and assigned contacts are turned on to enable proper functioning of the booking system.
  • Customize layout and color scheme if desired.

7. Connecting Calendar

  • Users can check their calendar connection status in their profile settings.
  • Admins can verify calendar connections for their staff members in the staff management section.
  • Connect calendars by signing in with Google and selecting the desired calendars for booking appointments.

8. Automation Setup

  • Search for specific workflow templates related to the type of call (e.g., consult, support, testimonial) in the automation section.
  • Duplicate the workflow template and customize it with the user's name, selected calendar, tags, and notes.
  • Enable reminders to notify users and clients before scheduled appointments.

9. Sharing Booking Link

  • Once the calendar setup is complete, locate the created calendar in the settings menu.
  • Share the scheduling link by accessing the calendar settings, selecting the calendar, and copying the scheduling link.
